1. Introduction

Fexidoc respects your privacy and is committed to handling personal information responsibly, transparently and securely.

This Privacy Policy explains how Fexidoc collects, holds, uses, discloses and protects personal information when individuals and organisations use our website, software platform and related services.

Where the Privacy Act 1988 (Cth) applies to Fexidoc, we intend to manage personal information consistently with the Australian Privacy Principles.

In this Privacy Policy, "Fexidoc", "we", "us" and "our" refer to the business operating the Fexidoc platform.

"Services" means the Fexidoc website, software platform and related services.

"Workspace" means an organisational account used by a customer and its authorised users.

"Customer Content" means documents, templates, files, images, notes, text and other information uploaded to or created using Fexidoc.

2. Our approach to privacy

Fexidoc is a business document automation and standardisation platform.

Customers may use Fexidoc to upload company templates, source files, internal standards and other information for the purpose of creating, reviewing, standardising and exporting professional business documents.

We recognise that these materials may contain personal information, confidential business information, employee information, customer information, technical information and commercially sensitive content.

Fexidoc aims to apply appropriate privacy and security practices throughout the design and operation of the platform.

3. Personal information we may collect

The personal information we collect depends on how you interact with Fexidoc.

We may collect information including:

  • Job title or business role

4. Information contained in Customer Content

Users may upload documents and other materials that contain personal information relating to other people.

Examples may include employee names, job titles, contact information, author or approver details, inspection records, maintenance records, business correspondence, photographs, signatures and internal company records.

Fexidoc processes this information as part of providing the Services.

Customers are responsible for ensuring they are authorised to upload and process information through Fexidoc.

5. Sensitive information

Some Customer Content may contain information classified as sensitive information under Australian privacy law.

Sensitive information may include health information, biometric information, racial or ethnic origin, religious beliefs, political opinions, sexual orientation, criminal records and other categories defined under the Privacy Act 1988.

Fexidoc does not require users to upload sensitive information unless it is relevant to their legitimate use of the platform.

Customers should avoid uploading unnecessary sensitive information.

6. How we collect personal information

We may collect personal information directly from you when you create an account, complete forms, contact us, request support, request a demonstration, purchase or manage a subscription, upload files, create documents or join an organisation's workspace.

We may also collect information from your employer or organisation where they invite you to a workspace, automatically when you use the Services, or from authorised service providers.

We may also receive personal information contained within Customer Content uploaded by another authorised user.

7. How we use personal information

We may collect, hold, use and disclose personal information for purposes including:

  • Providing and operating the Fexidoc Services
  • Creating and maintaining user accounts
  • Creating and administering workspaces
  • Authenticating users
  • Managing permissions and access controls
  • Processing uploaded files
  • Creating and standardising documents
  • Providing document review functionality
  • Generating document exports
  • Maintaining templates
  • Applying workspace standards
  • Storing source files
  • Maintaining document history
  • Processing subscriptions and payments
  • Providing customer support

8. Customer Content and ownership

Fexidoc does not claim ownership of a customer's business documents merely because those materials are uploaded to or processed through the platform.

Customers retain their rights in Customer Content, subject to any rights necessary for Fexidoc to process that content in order to provide the Services.

Fexidoc may process Customer Content to analyse documents, extract information, structure content, apply templates, apply workspace standards, generate draft content, identify missing information, create document previews and produce downloadable files.

Fexidoc does not sell Customer Content.

9. Artificial intelligence and automated processing

Certain Fexidoc features may use artificial intelligence, machine learning or other automated systems.

These technologies may be used to analyse uploaded files, identify relevant information, classify document content, organise information into sections, rewrite or standardise wording, apply preferred terminology, identify missing information, produce draft documentation and assist with document formatting.

Where required to provide these features, relevant information may be transmitted to authorised technology providers that assist us in delivering the service.

Fexidoc seeks to limit information shared with service providers to what is reasonably necessary to perform the requested function.

Fexidoc is designed to assist with documentation workflows. Generated content should not be relied upon as a substitute for appropriate professional, technical, engineering, safety, legal or compliance review.

10. Service providers

Fexidoc may use trusted third-party providers to operate the Services.

These may include providers of cloud infrastructure, hosting, databases, file storage, authentication, transactional email, customer support, payment processing, analytics, performance monitoring, error reporting, cybersecurity, document processing and artificial intelligence services.

These providers may process information on behalf of Fexidoc where necessary to provide their services.

Fexidoc expects service providers handling information on our behalf to apply appropriate security and confidentiality measures.

11. Overseas processing and disclosure

Some service providers used by Fexidoc may operate infrastructure or process information outside Australia.

Where Australian privacy law applies, Fexidoc will take reasonable steps in relation to overseas disclosures as required by applicable law.

Fexidoc does not represent that all customer information is stored exclusively within Australia unless Australian-only data residency has been specifically implemented and confirmed.

The countries in which information may be processed may depend on the infrastructure and service providers used by Fexidoc.

12. Data security

Fexidoc takes reasonable technical and organisational measures designed to protect personal information and Customer Content from misuse, interference, loss and unauthorised access, modification or disclosure.

Security measures may include authenticated user access, private file storage, role-based access controls, workspace-level permissions, secure network connections, server-side processing, restricted administrative access, secure credential management, security logging, access revocation controls, backup and recovery measures and separation between customer workspaces.

No online system can guarantee absolute security.

Users are responsible for protecting their login credentials and should notify Fexidoc promptly if they suspect unauthorised access to their account.

13. Workspace access

Customer information is associated with the relevant Fexidoc workspace.

Workspace access may be controlled through roles such as Owner, Administrator, Editor and Viewer.

Authorised workspace administrators may be able to invite or remove users, assign permissions, access workspace documents, manage templates, manage workspace standards and review workspace activity.

Users should contact their organisation if they have questions about how their employer or organisation manages information within its Fexidoc workspace.

14. Data retention

Fexidoc may retain information for as long as reasonably necessary to provide the Services, maintain customer accounts, preserve requested document history, meet contractual obligations, process billing, resolve disputes, investigate security incidents, comply with legal obligations and maintain legitimate business records.

Where information is no longer required and there is no lawful reason to retain it, Fexidoc may delete, destroy or de-identify it.

15. Deletion of information

Depending on the functionality available and the user's permissions, authorised users may be able to archive documents, delete source files, archive templates, remove users, delete account information and request deletion of workspace data.

Deleted information may remain temporarily in secure backup systems.

Fexidoc may also retain certain information where necessary for legal obligations, fraud prevention, billing records, security, dispute resolution or enforcement of agreements.

16. Data quality

Fexidoc takes reasonable steps appropriate to its role to maintain the accuracy of personal information it holds.

Users are responsible for ensuring that information they enter or upload is accurate and suitable for their intended use.

17. Access to personal information

You may request access to personal information about you that Fexidoc holds.

Fexidoc may require reasonable verification of your identity before providing access.

18. Correction of personal information

You may ask Fexidoc to correct personal information that you believe is inaccurate, out of date, incomplete, irrelevant or misleading.

Where applicable, Fexidoc will take reasonable steps to correct the information.

Some account information may also be corrected directly within the Fexidoc platform.

19. Direct marketing

Fexidoc may send information about product updates, new features, demonstrations, services and other relevant business communications.

Where required by law, marketing communications will include an appropriate method for opting out.

You may still receive essential transactional communications relating to security, account access, billing, workspace invitations, document processing or operation of the Services.

20. Cookies and similar technologies

Fexidoc may use cookies, browser storage and similar technologies for maintaining login sessions, authentication, account security, remembering preferences, understanding product usage, diagnosing technical issues and measuring website performance.

Additional notice or controls may be provided where required for optional analytics or marketing technologies.

21. Anonymity and pseudonymity

Where practicable, individuals may contact Fexidoc without identifying themselves.

Certain services cannot reasonably be provided anonymously, including account creation, authentication, subscription management, secure document access and workspace membership.

22. Government-related identifiers

Fexidoc does not ordinarily require government-related identifiers to create a standard account.

Customer Content may contain government-related identifiers where customers upload those documents.

Where applicable, Fexidoc will handle these identifiers in accordance with Australian privacy law.

23. Children

Fexidoc is intended for business and professional use.

The Services are not designed or marketed for use by children.

24. Data breaches

Fexidoc maintains procedures intended to identify, assess and respond to suspected data breaches.

Where Fexidoc is subject to the Notifiable Data Breaches scheme under the Privacy Act 1988 and an eligible data breach occurs, Fexidoc will comply with applicable notification requirements.

This may include notifying affected individuals and the Office of the Australian Information Commissioner where required.

25. Privacy complaints

If you believe Fexidoc has not handled your personal information appropriately, you may submit a privacy complaint.
